General Terms and Conditions (GTC)

Veranstaltungs- und Kongress GmbH Rosenheim (VKR)

Lokschuppen Exhibition Center

1. Scope

These General Terms and Conditions (GTC) apply to the booking/reservation and implementation of guided tours, workshops, events, and other programs offered by Veranstaltungs- und Kongress GmbH Rosenheim (VKR) at the Lokschuppen Rosenheim Exhibition Center and govern the contractual relationship between VKR and its guests regarding the sale of vouchers and tickets for admission, guided tours, workshops, events, and other programs offered by VKR, both electronically via the VKR platform https://tickets.lokschuppen.de (web shop) and on site at the exhibition ticket offices.

2.1 Booking/Reservation: Inquiry and Conclusion of Contract

A booking or reservation is made at the guest's request by email, telephone, post, verbally, or via the website inquiry form. Upon receipt of the inquiry, VKR will submit an offer. The contract is concluded when the guest accepts this offer. The guest must check the offer for accuracy.
A booking or reservation can also be made via the web shop. The guest submits a binding request for reservation/booking. The contract is concluded when VKR submits its declaration of acceptance of the request, which is sent to the guest in a separate email (booking/reservation confirmation). The booking is binding once the confirmation has been sent to the guest.
For short-term bookings (less than three working days before the date), the offer is considered binding if there is no possibility of timely confirmation. Excluded from this are reservation/booking requests via the web shop, which must be made at least seven working days before the date and are only binding with a booking/reservation confirmation from VKR. Changes must be communicated at least three working days before the date. Last-minute change requests cannot be guaranteed.

Payment (EC card, cash) for a booking/reservation, including the handover of the corresponding tickets, shall be made on site on the day of the visit. The invoice shall then be issued in the form of a receipt. In the case of payment on account, the invoice shall be sent to the guest at a later date.
The text of the contract shall be stored in compliance with the Federal Data Protection Act (BDSG).

2.2 Ticket purchase web shop: Conclusion of contract

The guest can select various tickets and products from the VKR range in the web shop and collect them in a so-called shopping cart by clicking on the “Add to cart” button or similar. By clicking on the “Buy now” button (or similar), the guest submits a binding request to purchase the tickets/products in the shopping cart.
Before submitting the order, the guest can change and view the data in the shopping cart at any time. However, the request can only be submitted and transmitted if the customer accepts the terms and conditions by clicking on the “Accept Terms and Conditions” button and thereby includes them in their request.
The contract is concluded when VKR submits its declaration of acceptance, which is sent in a separate email (order). The invoice is attached to the order/ticket email in the form of a PDF. The contract text is stored in compliance with the Federal Data Protection Act (BDSG).

Tickets are always sent electronically: “Print@Home ticket” or “mobile ticket” immediately after conclusion of the contract. Tickets are sent exclusively to the guest's specified email address. The guest prints the ticket on a white sheet of DIN A4 paper using appropriate software for printing PDF files and a suitable printer. Alternatively, the guest opens the ticket on their smartphone or tablet. Both the “Print@Home ticket” and the “mobile ticket” are scanned/validated on site at the turnstile. If the tickets are not received, the guest must notify VKR immediately. Until full payment has been made, the tickets sent remain the property of VKR. The guest may make exactly one printed copy of “Print@Home tickets” for the intended use. They are prohibited from reproducing or modifying such tickets in digital or printed form. “Print@Home tickets” are bearer documents. Holders of a “Print@Home ticket” that has already been presented for validation may be denied access to the exhibition by the respective organizer. In case of doubt, it is the guest's responsibility to prove that they are the rightful owner of the ticket and have not enabled or encouraged any duplication or other misuse.

VKR accepts the following payment methods: KLARNA instant transfer, VISA and MASTERCARD credit cards, Google Pay, Apple Pay. Any bank charges incurred shall be borne by the guest. Payment of the total amount in the shopping cart is due immediately upon conclusion of the contract. If the due date for payment is determined according to the calendar, the guest is already in default by missing the deadline. In this case, as a consumer, they must pay VKR default interest of 5 percentage points above the base rate for the year, and as a business owner, 9 percentage points above the base rate. The guest's obligation to pay default interest does not exclude the provider from asserting further claims for damages caused by the delay.

2.3 Ticket purchase on site / ticket offices: conclusion of contract

The guest can select various tickets and products from the VKR range at the ticket offices on site. The contract between VKR and the guest is concluded upon payment for the desired products, including acceptance of the General Terms and Conditions. The invoice will be issued on site in the form of a receipt after payment (EC, cash). The tickets will be handed over to the guest after payment.

3. Prices and discounts

All prices published by VKR include the applicable statutory sales tax. Discounts are only granted to eligible groups of people upon presentation of appropriate proof on the day of their visit. Retrospective discounts are not possible.

4. Validity of admission tickets

Admission tickets are valid for the whole day. Tickets are sold exclusively with a fixed visit date. They are only valid on the selected day – re-entry is possible at any time. Vouchers are valid for three years from the date of purchase. The exact validity date is stated on each voucher.

5. Lost tickets

If a guest loses their tickets, a replacement ticket can be issued at the ticket office if they can prove which ticket they purchased.

6. Ticket purchase: returns, exchanges, partial refunds, right of withdrawal

Tickets that have already been purchased and paid for cannot be exchanged, returned, or partially refunded. Tickets may not be transferred or resold. According to § 312g (2) No. 9 BGB (German Civil Code), there is no right of withdrawal, as these are services related to leisure activities that are purchased for a specific date or period.

7. Cancellation of bookings/reservations

Cancellations are free of charge up to three days before the booked date. For cancellations between 48 and 24 hours before the date, 50% of the agreed price will be charged. For cancellations within 24 hours or no-shows, the full price will be charged. Cancellation of tickets that have already been paid for is not possible – see right of withdrawal for ticket purchases.

8. Liability

VKR is only liable in cases of intent, gross negligence, and injury to life, limb, or health. In cases of simple negligence, VKR is only liable for breaches of essential contractual obligations and limited to foreseeable damage typical for this type of contract. There is no liability for damage caused by force majeure. Contractual obligations are those whose fulfillment is essential for the proper execution of a contract and on whose compliance the contractual partner may regularly rely. These limitations of liability also apply in favor of the legal representatives and vicarious agents of VKR.

9. House rules

In addition to these General Terms and Conditions, the house rules of the Lokschuppen Rosenheim Exhibition Center in their currently valid version apply.

10. Final provisions

Contracts between VKR and the guest are governed by the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods. Should individual provisions of these General Terms and Conditions be or become invalid, the validity of the remaining provisions shall remain unaffected. The statutory provisions restricting the choice of law and the applicability of mandatory provisions, in particular those of the country in which the guest as a consumer has their habitual residence, remain unaffected. The place of performance for all claims arising from the contract is Rosenheim. Unless another legally binding place of jurisdiction is established by law, Rosenheim is agreed as the place of jurisdiction.

House rules

We warmly welcome you to the LOKSCHUPPEN ROSENHEIM EXHIBITION CENTER and wish you a pleasant stay. To make your visit as enjoyable as possible for everyone, we ask that you observe these house rules.

1. House rules

Veranstaltungs- und Kongress GmbH (VKR) has sole house rules in all rooms and on the premises. The house rules are enforced by persons appointed by VKR, whose instructions must be followed without exception.

2. Technical equipment

Technical equipment may only be operated by VKR staff.

3. Organization, stay, and organizational procedures

For booked tours and programs, the exhibition guides will meet the group in the foyer of the exhibition center, unless another meeting point has been agreed upon. If the group is late, the waiting time is a maximum of 15 minutes, unless prior notification has been given. In exceptional cases, a tour may be conducted by a person other than the one originally announced.

4. Number of participants for group offers

The minimum and maximum number of participants for guided tours, workshops, children's birthday parties, and similar programs are specified in the current offer descriptions. Adjustments to the number of participants can be made on site at the exhibition ticket office.

5. Children and duty of supervision

Children under the age of 14 may only visit the exhibition when accompanied by an adult. For minors, the duty of supervision and responsibility generally lies with their legal guardians, parents, grandparents, teachers, educators, or adult companions, even if young people aged 14 and over are allowed to visit the exhibition on their own. The Lokschuppen Exhibition Center does not assume any responsibility or duty of supervision at any time.

If a child aged 7 to 13 participates in one of the special children's and family workshops, the child may visit the building as part of the booked program even without an adult accompanying person, provided that the child is supervised by the adult accompanying person until the start of the program and is picked up by them again punctually after the end of the program. An adult or sibling over the age of 13 must always accompany children on guided tours. However, the duty of supervision remains with the legal guardians at all times. The educational staff and the Lokschuppen Exhibition Center do not assume any responsibility or duty of supervision for minors at any time. Children under the age of 7 may only participate in the children's and family workshops when accompanied by an adult.

For children and young people visiting the exhibition as part of a school trip, holiday program, or similar, the duty of supervision lies with the adult chaperones accompanying the group, unless young people aged 14 to 17 inclusive have organized themselves. Children and young people are requested to move through the exhibition/building in supervised small groups outside of a booked program. At least one adult accompanying person must be present throughout the entire booked program, unless young people aged 14 to 17 inclusive have organized themselves.

6. Smoking ban

In accordance with the Health Protection Act, there is a general smoking ban (lighting and keeping tobacco products lit) throughout the entire event venue. The smoking ban also applies to e-cigarettes and cannabis. Violations of the provisions of the Non-Smoker Protection Act may be punished by the competent authorities as an administrative offense, including against the VKR.

7. Cloakroom and bags

For insurance reasons, umbrellas, coats, thick jackets, child carriers, backpacks, packages, bags of any kind and size (belly bags, chest bags, shoulder bags, handbags, camera bags, cell phone bags, diaper bags, small animal transport bags, etc.) may not be taken into the exhibition hall. In case of doubt, the responsible manager will decide. Cloakroom and lockers are available. VKR accepts no liability for items left in the cloakroom.

8. Food and drinks

Food and drinks may not be taken into the exhibition area. However, visitors may leave the exhibition for a break. Re-entry is possible at any time on the day of validity. Baby bottles/toddler drinking bottles for children up to a maximum of 2 years of age may be brought into the exhibition. The exhibition must be left to feed baby food/jars.

9. Changing diapers

Changing diapers is not permitted in the exhibition; a changing room is available near the restrooms for this purpose.

10. Strollers and buggies

Strollers and buggies may be taken into the exhibition. However, no bags are permitted (see point 7).

12. Behavior in the exhibition

Leaning on display cases and climbing on furniture is not permitted. Running and rough play are prohibited.  We ask that you keep your conversations at a moderate volume and be considerate of other guests. Cell phones must be set to vibrate or silent.

You are welcome to touch and try out our designated interactive stations. All other objects must not be touched.

13. Photography and filming

Photography and filming are only permitted without flash or additional lighting, without a tripod or selfie stick, and for private purposes only. Photography and filming for commercial purposes and for press coverage is only permitted with a press card and after completing the press card at the exhibition ticket office. We kindly ask that you do not photograph other guests.

14. Liability

Visitors are liable for any damage caused by their behavior.

15. Instructions from staff

Instructions from supervisory staff must be followed. Failure to comply with the house rules or instructions may result in the persons concerned being prohibited from remaining in the building. Visitors who repeatedly fail to comply with the house rules may be banned from the premises.

16. Use of facilities

It is not permitted to use inline skates, skateboards, bicycles, etc. on the VKR facilities (KU'KO with Plaza, Lokschuppen, parking garages P1, P2, P4, P7, and P9).

17. Video surveillance

Video surveillance with recording takes place in the LOKSCHUPPEN EXHIBITION CENTER. This is used exclusively to protect the exhibition objects from theft and damage.

18. Crowds of visitors

During busy periods, there may be waiting times at the exhibition ticket offices and at the turnstile/entrance to the exhibition. Please allow sufficient time.

19. Age suitability

The exhibition is recommended for ages 5 and up – for this reason, children aged 0 to 4 are admitted free of charge. Supplementary texts for children are available for children aged five and up. Please note that the exhibition may be dark and noisy. However, no refunds will be given if, after purchasing a ticket, it is determined that the exhibition is not suitable.

20. Temperature

The temperature in the exhibition rooms is kept at a constant 20 degrees Celsius. When outside temperatures are high, we recommend wearing a jacket or sweater in the exhibition rooms.

21. Accessibility

The exhibition takes place in darkened rooms. The tour leads along a walkway on a gallery. The gallery is accessible via stairs or a platform lift. The exhibition is barrier-free.
